If you sell software to companies bigger than yours, you already know the moment. The pilot went well, the champion is pushing internally, and then a 300 row spreadsheet arrives from procurement.

A slow questionnaire is a documentation problem in disguise. It is usually the first time anyone at your company has had to write down, in one place, how your security works. The questionnaire just happens to be where you find out you haven't.

I've answered these on the vendor side for fintech companies selling into banks, where a single "No" in the wrong column triggers a call with the bank's risk team and a remediation plan with dates on it.

What you're actually being sent

Most questionnaires are a version of a few standard formats. The SIG, from Shared Assessments, comes in Lite and Core sizes and runs from about a hundred to well over a thousand questions. The CAIQ, from the Cloud Security Alliance, maps to its Cloud Controls Matrix. Higher education buyers send the HECVAT. Large enterprises send their own, which is usually a SIG with the numbering removed.

The questions cover infrastructure, access control, encryption, HR screening, incident response, business continuity, subprocessors and legal terms. No single person at a 40 person company knows all of it, which is why the spreadsheet travels from inbox to inbox for two weeks.

Vendors in this space estimate that growing B2B companies receive somewhere between 50 and 200 of these a year. Treat the number with suspicion, since it comes from people selling questionnaire software, but the direction is right, and AI has made buyers expect faster answers, not slower ones.

Why it takes so long

Nobody owns it. The answers don't exist as written text anywhere. People are rightly afraid of writing something untrue. And every answer is quietly a legal statement, because many buyers attach the completed questionnaire to the contract.

You've typed "Yes, data is encrypted at rest" into a cell, paused, and opened the cloud console to check whether that was true. Everyone has.

Many companies' most accurate security documentation is a questionnaire they answered for a customer who has since churned.

How to fix it

Build an answer library from your real controls, not from a template. Each answer should name the control it describes, the owner, and the evidence that proves it: the encryption setting, the access review record, the incident runbook.

Put a trust page in front of the questionnaire. Publish your SOC 2 or ISO 27001 status, your subprocessors and your policies, with the full reports available under NDA. A good trust page answers a large share of questions before they're sent.

Triage before you answer. Mark each question as already answered, needs a fact check, or needs a decision. Only the third group should ever reach the founder.

Never answer "Yes" to something you plan to do next quarter. Write "Planned for Q1 2027" and attach the plan. Buyers are far more forgiving of an honest gap than of a yes that turns out to be false during their own audit.

This is where a compliance platform earns its fee. Questionnaire features in tools like Vanta, Drata, Sprinto and Steppe all draft answers from what you've already documented. The difference is whether that draft comes from live evidence or a static answer bank. The better kind points each answer at the evidence behind it, so a reviewer can check the claim in one click instead of trusting whoever filled the last one.

The number to watch

Track days from questionnaire received to questionnaire returned. If it is above ten working days, your sales team is carrying a security debt they didn't create. Fixing it is cheaper than the next deal it costs you.

Every slow questionnaire is a company finding out, in front of a customer, that it never wrote down how it works.

Frequently asked questions

What is a SIG questionnaire?

The Standardized Information Gathering questionnaire from Shared Assessments, used by enterprises to assess vendor security. It comes in Lite and Core versions.

Can a SOC 2 report replace a security questionnaire?

Often partly. Many buyers will accept a SOC 2 or ISO 27001 report plus a shorter set of follow up questions.

How long should a security questionnaire take?

With an answer library tied to real evidence, most standard questionnaires can be returned within three to five working days.
